Cancellation & Refund Policy
At Valarmathi Taxi, we aim to be fair and transparent about cancellations and refunds. This policy explains the rules that apply when a booking is cancelled by a customer or by our service, and how refunds (if any) are handled.
1. Cancellation by Customer
- Local Bookings (within city): Free cancellation if done at least 6 hours before the scheduled pickup time. Cancellations within 6 hours may attract a cancellation fee equivalent to 20% of the estimated fare or a minimum of ₹100, whichever is higher.
- Outstation / Long-Distance: Free cancellation if done at least 12 hours before the scheduled pickup. Cancellations within 12 hours may attract a fee equal to 25% of the estimated fare or a minimum of ₹250, whichever is higher.
- Hourly / Rental Bookings: Cancellations within 3 hours of start time may attract a fee equal to the first hour's rate or a minimum cancellation charge as communicated at booking.
- Cancellations must be communicated via phone or WhatsApp at +91 94864 44307. We recommend keeping the booking confirmation message if sent via WhatsApp for reference.
2. Cancellation by Valarmathi Taxi
- We may cancel a booking due to driver unavailability, vehicle issues, safety concerns, extreme weather, or other unforeseen circumstances. We will inform you as soon as possible and attempt to provide an alternative vehicle where available.
- If we cancel the booking, you will not be charged. If you have already paid in advance, you will be refunded in full (see Refunds below).
3. No-Show & Late Cancellation
- If the passenger does not show up at the agreed pickup location and the driver waits as per the agreed waiting time (usually 10–15 minutes), a no-show fee or part-day charge may be applied.
- Late cancellations made after the driver has started the trip or reached the pickup location may also be treated as a no-show and charged accordingly.
4. Refunds
- Refunds (when applicable) will be processed using the same payment method used to make the booking, unless otherwise agreed.
- Refund processing time depends on the payment partner and bank — typically 5–7 working days for card/UPI/bank refunds. Wallet or third-party partner timelines may vary.
- We will send a confirmation message/email when a refund has been initiated. Please retain this for your records.
Important: If you paid a driver directly in cash at the time of cancellation, please contact us with the booking reference so we can investigate and process any refund where applicable.
5. Adjustments & Disputes
- If you believe a cancellation fee or refund decision is incorrect, contact our support with booking details and proof (screenshots, messages). We will investigate and respond within 3–5 business days.
- Valarmathi Taxi reserves the right to update or modify this policy. Any significant changes will be posted on this page with an updated effective date.
6. How to Request a Refund
- Email us at valarmathitaxi@gmail.com with your booking reference, date/time, pickup & drop locations, amount paid, and reason for refund.
- Or message us on WhatsApp at +91 94864 44307 with the same details.
- We will confirm receipt and provide an estimated timeline for resolution.
